    Estimates

Create, send, PDF, and accept estimates—convert to job or invoice, with optional bundled contract on the accept link.

    Overview

Estimates in Bounty CRM are how you present priced scope to a customer before work is scheduled or billed. You create line items, send a professional estimate (including PDF), and let the customer accept through an accept link. Each chain has one estimate slot—the estimate is the quote; after job and invoice link, job line items follow the invoice, not the estimate. See /docs/guides/document-linking.

Estimates live in the Billing hub alongside invoices. They are first-class documents with statuses, send history, and conversion paths—not disposable quotes living only in email. When Contracts are on your plan, you can optionally bundle a contract on the accept link so the customer accepts scope and signs agreement in one customer-facing flow.

The accept-estimate experience is a document link that ships with Estimates. It is not a separate Customer Portal product (that product is not available yet). See /docs/features/customer-portals.

What it allows you to do

    • Create estimates tied to a contact with clear line items and totals.
    • Optionally present Good / Better / Best package options so customers can choose a tier when accepting.
    • Pull catalog items from Price Book when that module is enabled.
    • Send estimates by email and generate PDFs for offline or print handoff.
    • Let customers accept online via the accept link (and pick a package when options are enabled).
    • Optionally present a bundled contract for e-sign when accepting (requires Contracts on your plan).
    • Convert accepted (or ready) estimates into jobs and/or invoices without retyping scope.
    • Use in-person handoff when you are standing with the customer—see /docs/guides/public-links-handoff.

Package options (Good / Better / Best)

By default an estimate has one set of line items. When you turn on Present package options in the estimate builder, you can define up to three tiers (labeled Good, Better, and Best by default—rename them as you like). Each tier has its own line items. Tax and discount still apply at the document level across all tiers.

    • Copy line items from one tier to another to start from a base package, then adjust upgrades.
    • List totals show the recommended package (whichever option you mark as recommended) until the customer accepts.
    • On the accept link, the customer must choose one package. Acceptance locks that choice into the estimate so job and invoice conversion use the selected scope.
    • PDFs sent before accept include a full estimate page per package (header, line items, totals, notes); after accept they show the selected package only.

    How it impacts your workflow

A clean estimate workflow shortens the gap between “we looked at it” and “it’s on the schedule.” Office staff stop rewriting scope into calendar notes; field sales stop texting blurry photos of handwritten totals. The estimate becomes the agreed snapshot of price and scope.

Acceptance is the pivot. Once a customer accepts, convert to a job so dispatch inherits the customer and intent. If you collect deposits or bill before work, convert to an invoice (or invoice after the job—teams differ). The important part is conversion, not re-entry. That habit is documented end-to-end in /docs/guides/estimate-to-invoice.

Bundled contracts change high-value sales. Instead of “accept the estimate, then we’ll email a separate agreement,” the customer can accept and sign in one session when an unsigned contract is linked. That reduces drop-off on installs and service agreements.

    Key screens & actions

Web: Open Billing from the main menu, then Estimates. Mobile: Billing tab with estimates available for field quoting when your plan and role allow. Public: customers open the accept link from email or handoff.

    Create, send, PDF

    • Create an estimate from Billing or from a contact/job context.
    • Add line items manually or from Price Book.
    • Send to the customer email on file; download/share PDF when needed.
    • Track whether the estimate is draft, sent, accepted, or otherwise progressed in your status model.

    Accept link

Customers open a secure link to review line items and accept. If a contract is linked and unsigned, the page can prompt accept-and-sign style completion. Email links and in-person handoff both reach these experiences—choose based on whether the customer is remote or in front of you (/docs/guides/public-links-handoff).

    Convert

    1. Build and review the estimate with accurate line items and customer details.
    2. Send the estimate (or hand off in person) and wait for accept—or proceed per your sales policy.
    3. On accept, complete any bundled contract signing if presented.
    4. Convert estimate → job to schedule the work.
    5. Convert estimate → invoice when you need to bill from the quoted scope (deposit or full).
    6. Continue on Jobs and Invoices for dispatch and collection.

    Connections

    Permissions & plan notes

Estimates are included on Starter ($49), Professional ($129), and Business ($249). Role permissions still gate who can create, send, and convert. Related modules affect the full experience:

    • Price Book — included on Professional and Business, or $49 add-on on Starter; catalog for line items, not stock tracking.
    • Contracts — included on Professional and Business, or $49 add-on on Starter; templates, e-sign, bundled accept.
    • Payment Processing — needed when you immediately invoice and collect online after quoting.
    • Custom Email Domain — branded outbound estimate email on Professional and Business, or as an add-on.

    Tips & common questions

    • Write line items the customer will recognize—accept is not the time for internal part codes only.
    • If you often convert to both job and invoice, standardize which happens first on your team.
    • Use handoff when closing at the kitchen table; use email links for remote follow-up.
    • Bundled contract appears when an unsigned contract is linked—“Approve/Sign with customer” vs approve-only.
    • Price Book keeps margins consistent across estimators; invest in the catalog before peak season.
    • Customer can’t open the accept link? Confirm the link hasn’t expired/been superseded and that they are on a modern mobile browser. Escalate to customerservice@praevisio.co with the estimate details if needed.
