    Price Book

    Parts and services catalog for estimates and invoices—not warehouse stock tracking. Available on Professional and Business, or as an add-on on Starter.

    Overview

    The Price Book is Bounty CRM’s catalog of parts and services you sell. It exists to speed estimates and invoices: pick a catalog item, inherit description and price, keep estimators consistent. It is not warehouse stock tracking.

    There is no bin quantity, reorder point, or receiving workflow in Price Book today. If you need full inventory control, you will still use a dedicated inventory system. What Price Book does offer is a maintained menu of sellable items—optionally organized with categories—so quoting does not depend on whoever remembers last month’s labor rate.

    Price Book ships as a sellable catalog. Do not expect stock-on-hand features here.

    What it allows you to do

    • Maintain a catalog of parts, labor, and service items with prices and descriptions.
    • Organize items with categories for faster browsing.
    • Insert catalog items into estimates and invoices as line items.
    • Keep pricing consistency across office staff and field estimators.
    • Update a catalog price once and use the new rate on future documents.
    • Reduce typos and mystery part codes that confuse customers on accept and pay links.

    How it impacts your workflow

    Without a price book, every estimate becomes a freeform improvisation. Margins drift, descriptions differ, and customer-facing documents look unprofessional. With a price book, your senior tech can still override a line when needed, but the default path is catalog-first.

    Operationally, someone (often an owner or office lead) owns the catalog: categories, standard labor rates, common parts, diagnostic fees. Estimators then spend energy on scope decisions instead of retyping “1.5 ton condenser install labor” for the hundredth time. That speed shows up most on busy quoting days and on mobile field quotes.

    Because Price Book is not stock tracking, do not use it as your purchasing system of record. Use it as the sell-side menu. If a part is out of stock in the real world, your process still lives in purchasing/warehouse tools—Price Book simply knows how you sell it.

    Key screens & actions

    Manage the catalog in Settings / Price Book areas of the CRM (where enabled). Use items while creating or editing estimates and invoices. Categories help large catalogs stay navigable.

    Catalog & categories

    • Create items with customer-facing names, descriptions, and unit prices.
    • Group with categories (for example Labor, Equipment, Materials, Fees).
    • Retire or stop using obsolete items rather than leaving confusing duplicates.
    • Prefer clear customer language—these strings can appear on PDFs and customer links.

    Using items on documents

    1. Build out core catalog items before peak season.
    2. Open a new estimate or invoice.
    3. Add line items from the Price Book instead of starting from a blank line when possible.
    4. Adjust quantities and any job-specific overrides.
    5. Send the document; customer sees coherent, repeatable descriptions.
    6. Periodically review prices so the catalog matches your current cost reality.

    Permissions & plan notes

    Your plan includes Price Book on Professional ($129) and Business ($249). On Starter ($49), add Price Book for $49/mo. Limit who can edit catalog prices via roles—many users only need to insert items, not change the menu.

    • Customer label: Price Book. Avoid promising stock tracking.
    • Status: catalog—not a full inventory suite.
    • Estimates and Invoicing are core modules; Price Book accelerates them but is not required to create ad-hoc line items.

    Tips & common questions

    • Start with your top 50 sold items—not every part in the warehouse.
    • Use categories early; renaming later is harder once muscle memory sets in.
    • Put tax/fee items in the catalog if you charge them often.
    • Review prices quarterly or when supplier costs move.
    • Do not expect on-hand quantities, purchase orders, or receiving in this module.
