Overview
Team management in Bounty CRM lives under the People hub on the Team tab. This is where you invite users, manage who can sign in, and assign roles that control what each person can see and do. Growing from an owner-only account to a real crew means treating Team as carefully as Jobs—bad permissions create either chaos or bottlenecks.
Bounty CRM separates two layers of access that people often mix up: what’s in your plan, and what each person’s role allows them to do. Your plan (and any add-ons) decide which modules are available for your company—for example Contracts or Mobile. Roles decide whether that person can view or change things inside the modules your company already has.
A user can have permission to edit contracts and still see nothing if your plan doesn’t include Contracts. Conversely, a Professional plan doesn’t help a tech whose role forbids Billing write access.
What it allows you to do
- Invite teammates by email and track pending invites.
- Manage active users and deactivate access when someone leaves.
- Assign system roles for common patterns out of the box.
- Create custom roles with fine-grained permissions for each area of the product.
- Align office, dispatch, and field access so each role sees the right hubs.
- Use Team day clock and timesheets when Timekeeping is on your plan—see /docs/features/timekeeping.
- Stay within plan seat (monthly active user) capacity as you grow—or add seats via usage add-ons.
How it impacts your workflow
Shared logins are the enemy of accountability. When every tech uses the owner account, you cannot tell who voided an invoice or who reassigned a job. Team invites give each person an identity; roles give that identity a job description in software form.
Well-designed roles also speed training. A new CSR gets Contacts + Estimates send without Settings or void powers. A dispatcher gets Jobs assignment without template editing. A tech on mobile gets job completion and maybe limited billing visibility. You spend less time saying “don’t click that.”
Seat capacity is part of the workflow too. Starter includes fewer seats than Professional; Business includes more. When invites fail or users cannot activate, check plan capacity before assuming a bug—see /docs/guides/choosing-a-plan and /docs/settings/billing.
Key screens & actions
Web: People hub → Team, with secondary tabs for Users and Roles. Mobile is not the place to administer subscription or deep role design—use desktop for invites, roles, and billing changes.
Users & invites
- Invite a user with the email they will use to sign in.
- Assign an initial role before they land in the CRM.
- Remove or deactivate users promptly when employment ends.
- Prefer individual accounts even for part-time helpers—shared passwords break accountability.
System & custom roles
- System roles cover common baselines; start here if you are unsure.
- Custom roles let you match real job titles (CSR, Dispatcher, Lead Tech, Bookkeeper).
- Permissions are typically view/edit style controls for each area—see /docs/guides/roles-permissions.
- Revisit roles after you turn on new modules (Contracts, Price Book, Mobile) so permissions match new screens.
What’s in your plan vs what a role allows
- Confirm your plan includes the module—upgrade or add individually if missing.
- Confirm the user’s role grants the needed permission for that module’s actions.
- Have the user sign out and back in if you just upgraded or added a module after checkout.
- Test as that role before rolling out broadly to the crew.
- Write down your role setup so future invites stay consistent.

Permissions & plan notes
User & Team Management is included on Starter ($49), Professional ($129), and Business ($249). Capacity differs: Starter 2 seats, Professional 5, Business 10 (with usage add-ons available for more). What’s in your plan still decides whether Mobile, Contracts, Payment Processing, Price Book, and Custom Email Domain appear.
- Only privileged roles should manage roles themselves.
- After plan upgrades, have users sign out and back in so new modules show up right away.
- Field techs on mobile need Mobile on your plan and sensible job permissions.
Tips & common questions
- Never share the owner login with the crew.
- Create a “Technician” role before hiring season, not during the first Monday scramble.
- If someone “can’t see Contracts,” check your plan first, then their role permissions.
- Custom roles are powerful—keep the setup small enough to explain in one page.
- Deactivate users the same day they leave; don’t wait for monthly cleanup.
